May 10, 2011 Board Meeting

The meeting convened at 8:17 PM at the BRCA Marina Clubhouse. The President, Pam Jacobsen, chaired the meeting. Board Members present included: Pam Jacobsen, Jeff Gilbert, Jay Green, Grahame Rice, Sherrie Kelley, Kathleen Randolph, Bill Thomas, and Paul Behrends. Ryan Chitwood, participated in an informal meeting with the board before the formal board meeting convened.

Pre-Meeting with DRD Representatives – An ad hoc meeting with Ryan Chitwood (DRD Regional Director and Facility Supervisor for the BRPA Pool) Logan Riley was held before the convening of the formal BRPA Board meeting.  Items address included:

  • Preparations for County Health Department Inspection – Ryan noted that the pool is essentially ready for the inspection.  However, one pool light fixture is defective and will require replacement.  DRD will make the repairs.
  • Pool Admission rules – Pam Jacobsen provided a copy of the new BRPA Pool Admission Rules to DRD.  Ryan noted that these new rules will be provided to the guards for their use during the season.
  • Ryan noted that none of the lifeguards currently scheduled to work at BRPA have prior BRPA experience.
  • Concerns from Last Year – It was noted that pool cleanliness was not always as good as it should have been.  The pool deck requires “bucket washing” each day.  In addition, trash containers need to be emptied at the end of the day, or when they become full.

At the end of the discussion, the DRD representatives left the meeting.

Convening of the Formal Meeting – The formal BRPA Board meeting convened at 8:35PM.  A quorum was present to allow the board to transact business.

Reading of the Minutes – Since the minutes of the 26 April meeting were reviewed by the board via email, and the corrected version has been posted on the BRPA web site, the reading of the minutes was waived.

Financial Report  – Since the financial statement was posted on line, and forwarded to the board by email, its presentation was waived for this meeting.  Grahame Rice noted that he was in the process of preparing the BRPA tax returns for submission. He expects to have them submitted prior to the due date of 16 May.

Membership Drive for 2011 – Grahame Rice discussed the status of membership renewals for this calendar year.  He noted:

  • Membership renewals appear to be progressing at about the same rate as last year.
  • The Board should continue the email postings on membership renewal. It was noted that the email to Annapolis Cove residents will be sent to only current BRPA members.
  • Bill Thomas will contact the Annapolis Cove Property Owners Association President for acceptance of contacting non BRPA members in the Annapolis Cove community to offer BRPA membership.

Swim Team – Several swim team issues were discussed. They included:

  • Grahame Rice noted that the Swim Team will host a  “Texas Hold’em”  night fundraiser on 20 May.  The current planned “buy in” for the event is now $65.  There remains some question as to the division of proceeds between the BRPA and the swim team.
  • Membership eligibility for the swim team was discussed.  It was noted that the families of some swim team members are not members of the BRPA.  After some discussion, it was decided to table the issue subject to a review by Kurt Karsten on allowing swim team participation by non-member children. The issue will be brought to Kurt’s attention upon his return home.

Swimming Lessons –  Pam Jacobsen discussed the current status of plans for  swimming lessons during the pool season. Items addressed included: was discussed. Points addressed included:

  • The current class size is estimated to be about 20 people.
  • The classes are planned to be held after school is out, and will be in the morning.
  • The projected cost of the classes will be $25 per session. The proposed classes would run for five consecutive days.
  • There appears to be some interest in elementary diving instruction.  Bill Thomas is continuing to search for beginning diving coach.

Snack Bar Operation – Bill Thomas addressed a proposed implementation of a “professional” snack bar at the pool. Items addressed included:

  • Bill Thomas will prepare a draft contract for Grumps’ use of the facility.
  • Bill noted that the owners of Grumps have recently expressed their reservations about providing that service. They feel that it would not be a profit center operation. As a result, negotiations appear to have stalled.  Bill Thomas is pursuing the issue with those concerned.

Facility Maintenance – The following maintenance items were addressed at the meeting:

  • The replacement double doors have been installed.
  • Jay Green noted that DRD had experienced flooding while back-flushing the pool filters.  The cause was traced to a failure of the backflush sump pump.  The failure was caused by flooding of the power receptacle for the pump.  The receptacle has been replaced, and will be relocated to avoid future flooding of the connection.
  • Pam noted that the swim team closet on the ground floor needs cleaning.  There is evidence of rodent infestation.  As result, anything in the closet that would be used by others will need to be cleaned.

  • General  Meeting –Monday, 13 June 2011 at the BRCA Marina clubhouse.
  • Board Meeting – Tuesday 30 June 2011 at the BRPA Pool.
  • Ad Int. Board Meeting – Tuesday, 14 June 2011 at the BRPA Pool
