March 28, 2007 Board Meeting

The meeting convened at 7:30 PM at the Pool House. The President, Doug Vaughters, chaired the meeting. Board Members present included: Carlene Cassidy, Pam Jacobsen, Kurt Karsten, Jeff Bach, Chris Burkhart and Elizabeth Taylor. A quorum was present to allow the board to transact business.

Minutes Approved:Reading of the minutes for the Jan Board Meeting was waived. The meeting minutes were approved as posted on the BRPA Web Page.

Old Business
Pool Management Contract Issues Kurt Karsten presented the current status of contract negotiations. The following items were addressed:

  • We have reached agreement between our insurance agent and DRD on the insurance and indemnification language in the proposed contract and DRD has agreed to the other changes we have requested as to the gate guard and the waiver of the $100 fee for event scheduling during the pool season.
  • DRD is making the Contract changes and will send a revised version for signature soon, however, they have assured me that they are acting pursuant to the Contract as if it were already signed and are going full speed ahead on staffing and spring preparations as if the contract has been signed.

Membership Renewal The status of membership renewals was discussed. Items addressed included:

  • Invoices were delivered to all members from last year. A few were not delivered due to incorrect addresses. As a follow-up, e-mails were sent out to all community members in Bay Ridge and Annapolis Cove to remind folks that registration time was here and to direct interested parties to the web site for the application.
  • Chris Burkhart is beginning to get a large number of applications in. Next meeting the total numbers of applications will be tallied.
  • The group discussed ways to continue to raise awareness about the ongoing application process.  Elizabeth recommended signs at the gates of Bay Ridge and Annapolis Cove.  The board agreed and Elizabeth took action to get the sign.  Also it was suggested to keep up the direct email process to make sure awareness is heightened.

Bay Ridge Pool Association Web Site It was noted that the web site had the old 2006 applications loaded. Doug explained that the error was caught quickly and rectified by Paul.  Some applications may come in with the wrong payment. These will be handled on a case by case basis. The web site is up and running at (www.bayridgepool.org). The old page on the BRCA web site (www.bayridge.org) now has an automatic link to our own site.

ID Cards – It was noted that Monica Mount has agreed to take on the ID Cards this year. Guidance was provided in the renewal cover letter to provide ID pictures for the ID cards. It read as follows, “Please be sure and name the photo images with the last name of the membership holder (name on the pool application) and the name of the person in the photo. For example, Vaughters_maryvaughters.jpg or Vaughters_janedoebabysitter.gif.@”

Preparations for Season Opening – Preparations for this year=s clean-up days were discussed. Items addressed included:

  • The traditional list of opening day clean-up items was discussed including; cleaning the deck furniture, bathrooms, upstairs deck, teake tables, general yard work, and painting.
  • A special effort to refurbish or build picnic tables was discussed lead by Sean Geherty.
  • Grahame took action to get the pool side caulking redone.
  • Kurt took on the job of getting the locks replaced.
  • Pam mentioned that the emergency lighting and fire extinguishers were recently inspected by the fire department.
  • Ted Rowette’s name was mentioned as a potential leader of the painting effort.
  • Items that need to be replaced this year include Umbrellas and folding green chairs.  A run to Sam’s Club was recommended.
  • The list of needed cleaning supplies will be finalized as we get closer to 6 May.

New Business:
Board Member Elections in April – Preparations for this year=s Board Elections were discussed. Carlene Cassidy recommended that we begin to plan for the upcoming board elections in April.  It was noted that 3 board members were completing their terms (Carlene, Jeff and Elizabeth) and one has decided to stay on (Elizabeth).  A de facto nominating committee led by Carlene was formed and several names were suggested.  Each Board member took action to try and provide one name for consideration.  Voting will be at the upcoming General membership meeting.
