March 7, 2011 Board Meeting

The meeting convened at 8:15 PM at the BRCA Marina Clubhouse. The President, Pam Jacobsen, chaired the meeting. Board Members present included: Pam Jacobsen, Jeff Gilbert, Jay Green, Grahame Rice, Sherrie Kelley, Monica Mount, Kathleen Randolph,  and Paul Behrends. Bruce Reiter attended as a representative of Annapolis Cove. A quorum was present to allow the board to transact business.

Reading of the Minutes – Since the meeting minutes were reviewed by the board via email, and the corrected version has been posted on the BRPA web site, the reading of the minutes was waived.

Financial Report  – Since the financial statement was posted on line, and forwarded to the board by email, its presentation was waived for this meeting.

Membership Drive for 2011 – Grahame Rice discussed the status of membership renewals for this calendar year.  He noted:

  • The flyer advertising pool membership will be distributed by email to Annapolis Cove Residents.
  • The flyer will be published in the next  Bay Ridge Community Association monthly newsletter.
  •  The prior year membership data will be taken down from the web site, to allow posting of new and renewal membership information for this year.

Swim Team – Bruce Reiter discussed currently planned activities for the swim team.  These include:

  • The swim team is going to hold their registration on Sunday April 3rd, from 11AM to 1PM at the pool house. As n the past, members (new and renewal) will be able to drop by with their payment for the pool as well. so I can add that to the email I am sending out to Annapolis Cove (and have it added it to the one sent to BR residents). Also, a computer will be available to allow members to update their membership information, especially those without an email address.
  • Five Swim meets, including three home meets (one of which is the Gold Championship meet). The home meets are currently scheduled for 15 June and 16 July. the Gold Championship meet will be held on 24 July.
  • It was noted that BRPA is in the process of negotiating for a commercially operated snack shop.  The question was raised about possible conflicts between the swim team snack sales and the proposed  commercial operation.  Although the operating hours of the commercial snack shop have not been established, it is presumed that it would be only when the pool is open for general membership use.  As a result, since the pool is closed for general membership use during swim meets, there should be no conflict.
  • The Swim Team will host a  “Texas Hold’em”  night fundraiser.  Participation will cost $65 per person for the evening.

Marlin Swim Team Affiliation – Jeff Gilbert discussed the Marlins Swim Team affiliations.  Points he addressed included:

  • The Greater Annapolis Swim League (GASL), the league in which the Marlin Swim team participates, has decided this year to no longer be associated with USA Swimming and has chosen to join the Amateur Athletic Union (AAU) instead.  Because of this change, certain swim coaching credentials and certifications once mandated by USA Swimming are no longer necessary.  Certifications previously enforced by USA Swimming include safety certifications (CPR, First Aid, and Swim Training for Coaches), educational requirements, and background check.   The AAU has less stringent requirements for their swim leagues as to what credentials must be completed.  GASL, in turn, has left it up to the individual swim teams to decide what is necessary for their clubs.
  • It is important to note that County regulations (and those enforced by DRD) state that certain certifications such as pool operator’s certification and lifeguarding certifications are still needed by a swim team coach on deck (at all times) if a DRD lifeguard is not staffing the pool (which is typically during early morning swim practice).  These have always been a requirement Marlin coaching staff has had in prior years. The Swim Team Board has informed the BRPA Board that their direction is needed as it pertains to required certifications/credentials for the Marlin Swim team coaching staff (head coach, assistant coach, and several junior coaches).

Motion:  Jeff Gilbert moved that “In line with County regulation, the BRPA Board has voted and a decision has been made that at least two (2) coaches from the Marlin Swim Team must have their Pool Operator’s certification. As well, lifeguarding certification (to include First Aid and CPR) will also be necessary for coaching staff (though not necessary for Junior Coaches).  These certifications must be completed prior to the commencement of the 2011 swim team season or no practices or meets can occur.”  The motion was seconded by Kathleen Randolph, and passed by a voice vote of the board.
Friday Evening Entertainment – Bruce Reiter discussed current plans for music at BRPA parties. His comments included:

  • The swim team will provide loudspeakers and a mixer for Friday Evening family times.
  • He noted that Lou Bobbet will provide entertainment for the BRPA Season Opening Day party on 28 May.

Swimming Lessons – Jeff Gilbert discussed the possibility of swimming lessons during the pool season. Points addressed included:

  • He has identified a possible qualified/certified instructor for the classes to be run in the July-August time frame.
  • He has also indentified a possible beginning diving coach as well.
  • The proposed classes would run for five consecutive days.

Photo IDs – Monica Mount stated that she would handle the preparation of the IDs herself.  The intent is to put the photo IDs in a notebook for use of the gate guard.  She also noted that she will need photos and emergency information on the individual for posting in the gate guard’s book.

Painting the Party Room – Pam Jacobsen noted that the party room has been painted through the good offices of Rob Bontempo.

Resurfacing the Party Room Floor –Jay Green indicated that he would pursue getting quotes from commercial firms for resurfacing the party room floor.

Snack Bar Operation – Pam Jacobson addressed a proposed implementation of a “professional” snack bar at the pool.  In the course of discussion, the following items were addressed:

  • The owners of Grumps have expressed strong interest in providing that service.
  • Details on what is needed are ongoing.

Pool Skimmer Safety Issue – It was reported that Kurt Karsten was able to obtain from the County a two year waiver for accomplishment of the required skimmer modifications.  This will allow the modifications be made when the pool will be drained for other maintenance work in early 2013.

Facility Maintenance – The following maintenance items were addressed at the meeting:

  • The board directed Jay Green to obtain cost estimates to replace the center double doors in the party room.
  • It was noted that the vending machines have been removed from the proposed snack shop space.
  • The spring pre-season clean up days have been scheduled: Saturday, 7 May and Sunday 15 May.  Jay Green will be managing the scheduled work for the two days.
  • The pool cover will come off the week of 14 March.  The safety fence will be installed the weekend before the cover is removed.
  • The snack room will require a thorough cleaning.
  • The deck chairs will require replacement.

Meeting Schedules – Pam Jacobsen stated that the Board meetings will now be on the second Tuesday of the month, in lieu of the last Tuesday of the month.

The official schedule for future meetings of the Pool Association and its Board of Directors includes:

  • General Meeting –Monday, 11 April 2011 at the BRCA Marina clubhouse.
  • Board Meeting – Tuesday 12 April 2011 at the BRPA Pool.
