April 26, 2011 Board Meeting

The meeting convened at 8:13 pm at the BRCA Marina Clubhouse. The President, Pam Jacobsen, chaired the meeting. Board Members present included: Pam Jacobsen, Jeff Gilbert, Jay Green, Grahame Rice, Sherrie Kelley, Monica Mount, and Paul Behrends. Bruce Reiter attended as a representative of Annapolis Cove. A quorum was present to allow the board to transact business.

Reading of the Minutes – Since the minutes of the 7 March meeting were reviewed by the board via email, and the corrected version has been posted on the BRPA web site, the reading of the minutes was waived.

Financial Report – Since the financial statement was posted on line, and forwarded to the board by email, its presentation was waived for this meeting.

Membership Drive for 2011 – Grahame Rice discussed the status of membership renewals for this calendar year.  He noted:

  • Membership renewals appear to be progressing at about the same rate as last year.
  • The Board should continue the email postings on membership renewal.The flyer advertising pool membership will be distributed by email to Annapolis Cove Residents.
  • The flyer will be published in the next  Bay Ridge Community Association monthly newsletter.
  •  The prior year membership data has been  taken down from the web site, to allow posting of new and renewal membership information for this year.

Swim Team – Bruce Reiter discussed currently planned activities for the swim team.  These include:

  • The swim team held their registration on Sunday April 3rd, from 11AM to 1pm at the pool house. As in the past, members (new and renewal) were able to drop by with their payment for the pool as well. Also, a computer was available to allow members to update their membership information, especially those without an email address.
  • Five Swim meets, including three home meets (one of which is the Gold Championship meet). The home meets are currently scheduled for 15 June and 16 July. the Gold Championship meet will be held on 24 July.
  • The Swim Team will host a  “Texas Hold’em”  night fundraiser on 20 May.  The current planned “buy in” for the event is now $100.
  • Membership eligibility for the swim team was discussed.  It was noted that the families of some swim team members are not members of the BRPA.  After some discussion, it was decided to table the issue subject to a review by Kurt Karsten on allowing swim team participation by non-member children.

Swimming Lessons – Jeff Gilbert discussed the possibility of swimming lessons during the pool season. Points addressed included:

  • He has met with a qualified/certified instructor for this season.
  • The classes to be run in the July-August time frame.
  • The projected cost of the classes will be $25 per session. The proposed classes would run for five consecutive days.
  • His original choice of a diving instructor is out of the country for the month. In view of possible schedule conflicts, he is continuing to search for beginning diving coach as well.

Photo IDs – Monica Mount stated that she would handle the preparation of the IDs herself.  The intent is to put the photo IDs in a notebook for use of the gate guard.  She also noted that she will need photos and emergency information on the individual for posting in the gate guard’s book.

Resurfacing the Party Room Floor –Jay Green noted that the resurfacing the party room floor has been completed. Special cleaning agents have been procured and are the only materials that should be used in cleaning the floors.  .

Snack Bar Operation – Pam Jacobson addressed a proposed implementation of a “professional” snack bar at the pool. She noted that the owners of Grumps have expressed strong interest in providing that service. However, negotiations appear to have stalled.  Bill Thomas is pursuing the issue with those concerned.

Facility Maintenance – The following maintenance items were addressed at the meeting:

  • The replacement double doors have been received.  Jay Green plans on installing the doors on 2 May.
  • Saturday 30 April will be “Carpentry Day” at the Pool house.  The goal is to take care of relatively small carpentry items in preparation for opening day.  Among those items will be repair of the picnic benches.
  • The spring pre-season clean up days have been scheduled: Saturday, 7 May and Sunday 15 May.  Jay Green will be managing the scheduled work for the two days. The major efforts will involve cleaning.
  • The snack room will require a thorough cleaning.
  • The deck chairs will require replacement.
  • Jay Green will install the new signs concerning video surveillance, and parking lot access.
  • Pool Side Furniture – Pam Jacobsen noted that the existing plastic chaises were in bad condition and some would need replacing.  The exact number requiring replacement was not known at the meeting.  However, Pam had identified a replacement item, and when the furniture is moved out of storage, a count of those needing replacement would be made.
  • Pergola Sun Screen – It was noted that the existing  sun screen for the pergola is in very bad condition.  It had been intended to be a one year item when the pergola was installed 10 years ago.
  • Monica Mount proposed that a “Thank You” message be provided to the BRCA newsletter in appreciation of the BRPA member who contributed the new hot air hand dryers installed in the main floor bathrooms. The board agreed by unanimous consent.

Motion:  Jeff Gilbert moved that “The Board determine an appropriate source for the material, and define its availability, and cost.”  The motion was seconded by Monica Mount and passed with a voice vote.

Pool Operating Instructions – Pam Jacobsen indicated that DRD would like a review of the Pool Operating Instructions. The board undertook a quick review of the Instructions for pool operation.  In the course of the review, it was determined that the same version was not being used by all individuals.  Pam Jacobsen will provide the draft changes for the board’s approval.

  • General Meeting –Monday, 9 May 2011 at the BRCA Marina clubhouse.
  • Board Meeting – Tuesday 31 May 2011 at the BRPA Pool.
